Bringing On New Interns for Similar Projects
When you want to bring in another intern for the same or a similar role, a brief request to your Placement Matching Specialist is usually all that is needed. Clear communication early on supports continuity, reduces onboarding downtime, and helps you maintain project momentum.
How do I bring on a new intern for a similar project?
If your current internship has been a success, bringing in a new intern for the same role is the best way to maintain momentum. By preparing early and utilizing your outgoing intern, you can significantly reduce onboarding time and ensure a seamless transition between cohorts.
Timing the Transition
To avoid a gap in productivity, we recommend reaching out to your Placement Matching Specialist about two weeks before your current intern’s end date. This overlap window allows for:
- Fresh Matching: Time to review new candidates and conduct interviews.
- The "Live Handover": If schedules align, your outgoing intern can spend their final week helping the new intern set up their tools and understand the workflow.
- Onboarding Prep: Ensuring your Task Bank and Culture Cheat Sheet are updated based on what you learned from the last placement.
How to Request Your Next Intern
Depending on how your business has changed, there are two ways to move forward:
- Scenario A: The Role is Exactly the Same If the tasks and goals haven't changed, simply tell your Placement Matching Specialist you’d like to request a new intern under your existing Internship Requirement.
- Scenario B: The Project Has Evolved If you’ve completed your initial goals and want to move in a new direction, submit a New Internship Requirement with the updated scope and deliverables. This ensures we find a candidate with the specific skills needed for the next phase of your growth.
Maximizing Continuity: The Handover Protocol
Don't let valuable knowledge walk out the door! Ask your current intern to create a Handover Note for their successor. This should include:
- Links to all active files and dashboards.
- A list of current project statuses and "where I left off."
- A "Pro-Tip" section on how they managed their time or handled specific tools.
Our Partnership Roles
As you scale your internship program, remember how we support you:
- Virtual Internships: We provide the platform, find the matches, and offer the resources you need to manage them effectively.
- Your Company: You lead the interviews, set the expectations, and provide the daily mentorship that helps these interns grow.
If you choose to offer a part-time or full-time role after the VI placement ends, that agreement is managed directly between you and the intern.
