How do I set clear and sustainable working hours?

In a remote internship, working hours are more than just a start and end time. They are a commitment to when you can rely on each other. When schedules are documented and predictable, you reduce back-and-forth communication and ensure that project momentum never stalls.

What principles make a schedule work?

A successful remote schedule isn't about being online at the same time. It’s about these three pillars:

  • Total Timezone Clarity: Never just say 9 AM. Always include the UTC/GMT offset (e.g., 9:00 AM EST / 2:00 PM GMT).
  • The Golden Window: Aim for a 60–120 minute Core Overlap each day. This is your high-intensity time for live meetings and quick questions.
  • The No-Surprise Rule: Require a 24-48 hour heads-up for any recurring changes. This allows you to plan your own workload around the intern's availability.

Which scheduling model is right for my team?

Every team has a different rhythm. Choose the one that fits your current workflow:

  1. Fixed Weekly Hours: The intern is online at the exact same time every day.
    • Best for: High-cadence roles like Customer Support or Social Media.
  2. Core + Flex: You agree on 2 hours of overlap (e.g., 10 AM – 12 PM), and the intern completes the rest of their hours whenever they are most productive.
    • Best for: Creative or technical roles requiring deep focus.
  3. The Block Model: The intern works full days on specific days (e.g., Mon/Wed/Fri).
    • Best for: Specific project-based work where you want the intern "all-in" on certain days.

What if my intern wants to change their hours?

Flexibility is a benefit of remote work, but it shouldn't compromise the project. If an intern asks for a change:

  • Check the Overlap: Does the new schedule still give you that Golden Window of 1-2 hours for live syncs?
  • Check the Deadlines: Will this shift impact their ability to attend team meetings or hit Friday milestones?
  • Keep Us in the Loop: If the total number of hours per week is changing (not just the timing), please notify your Placement Success Advisor. We need to ensure the internship remains compliant with the original agreement.

Pro-Tips for Predictability

  • Calendar Visibility: Ask your intern to mark their working hours as Busy on a shared calendar or update their Slack status automatically.
  • The Asynchronous Hand-off: If you have very little overlap, use a Daily Log where the intern posts their progress at the end of their day so it's waiting for you at the start of yours.

When Interns Request to Increase or Reduce Hours

  • Review whether the new schedule supports project needs and deadlines.
  • Ensure the updated hours still provide enough overlap for supervision and communication.
  • Document the new agreement clearly and update calendars or tracking tools.
  • Encourage consistency. Frequent shifts should be avoided unless necessary.
